We’re growing!!  And looking for a passionate, driven, and energetic candidate to join our team for the position of Executive Administrative Assistant located in our Head Office in Guelph, Ontario.

Compensation: Starting at $68,000.00 annually plus bonus.

Job Description:
The Executive Administrative Assistant, provides comprehensive support to manage, organize, coordinate, and execute personal, administrative, and business-related activities of the Chief Executive Officer (CEO) & Co-founder. This role will provide overall reception and administrative support to the Executive Suite, maintaining inventory and stock of office needs, greeting guests, setting up/cleanup of meeting spaces, and general office organization and tidiness. The Executive Administrative Assistant will act as the first point of contact for the CEO and visitors to the Executive Suite, ensuring a professional and welcoming experience for clients, investors, and guests. This role will ensure the seamless execution of both strategic and operational priorities of the CEO, as well as cultivating and managing key relationships both internal and external with integrity and diplomacy.

What you will be doing:

  • Manage the CEO’s business and personal calendar, appointments, meetings, reservations, and schedules, both internal and external to Skyline.
  • Coordinate, organize, and follow up on all correspondence, such as emails and phone calls, on behalf of the CEO.
  • Complete all invoice reviews, credit card and bank reconciliation activities; manage and process payments for all personal and professional expenses.
  • Proactively follow up on tasks, assignments, and projects requested or assigned including any current or potential needs discussed.
  • Assist with the preparation of business presentations - written and electronic presentations, which include coordinating with internal resources.
  • Coordinate travel arrangements, including flights, accommodation, and itineraries.
  • Organize events and social engagements, both personal and professional, as required.
  • Serve as the first point of contact for the Executive Suite for clients, investors, and visitors, providing positive and polished front-of-house experience.
 
What we look for:
  • Bachelor’s or associate degree program in Business Administration, Business Management, or Finance preferred.
  • Minimum five (5) to seven (7) years equivalent workplace experience as an administrative or executive assistant.
  • High integrity, professionalism, and the ability to manage sensitive information.
  • Understanding of business acumen and ability to maintain a high level of accuracy and confidentiality concerning financial and business files.
  • Knowledgeable in planning schedules and travel.
  • Superior time management and organizational skills
